A custom video box costs $35 to $90 per unit, and about half of that is one component.

The screen module is the whole story. Panel, board, memory, battery, and speaker together account for roughly 50 percent of what you pay. The rigid box everybody focuses on is about 13 percent.

That matters because it tells you exactly where you have leverage and where you do not. You can redesign the box, simplify the print, and change the insert. You will move the price by a few dollars. Change the screen from 10 inch to 5 inch and you move it by thirty.

This article opens the invoice. Every line, what it costs, why, and which ones you can actually influence.

The short version

  • About half of a video box’s price is the screen module. The printed rigid box everyone looks at is around 13 percent.
  • Screen size is the only lever with real travel. 7 inch to 5 inch saves roughly $12 a unit; every finish and material choice together moves it by two or three.
  • Quantity discounts are small, about 8 percent at 250 and 19 percent at 1,000, because electronics do not get cheaper with your order size.
  • Sea freight instead of air saves $5 to $14 a unit and removes the lithium battery surcharges. That decision is made by your calendar, not your budget.
  • Never skip the working sample. It is the $300 line that catches a lid that will not close or a magnet that triggers the video in the box.

The one table that explains the price

This is a 7 inch video box at 250 units, which is the most common project we quote. Selling price around $68.

Read that table once more and notice what is missing. There is no line for the video itself. Producing the film is a separate project with a separate budget, and it can easily cost more than the boxes.

There is also no freight and no duty. Those come later and they are significant.

Line 1: the panel, which is half of everything

The LCD panel is the single most expensive item and its price is set by the display industry, not by your packaging supplier.

The panel scales by area, which is why the jump from 7 inch to 10.1 inch is so painful. A 10.1 inch screen covers about 2.6 times the area of a 7 inch screen, and the price roughly follows.

This is also why quantity discounts on video boxes are smaller than people expect. A panel is a bought component from a supply chain that does not care about your order size. Going from 100 to 500 units might save you eight percent. Going from 100 to 500 on a printed rigid box saves you forty.

The practical conclusion. If your budget is fixed, the screen size is the lever. Nothing else on the invoice can move the number the same distance.

Line 2: the board, memory, and battery

These three ride with the panel and they are less negotiable than they look.

The controller board decodes the video, drives the panel, manages the battery, and handles the buttons. About $7 on a 7 inch module. It is largely fixed across screen sizes because the work it does is the same.

Memory is cheap and people over specify it anyway. 2 GB carries roughly 30 minutes at 7 inch quality. Your video should be 30 to 90 seconds. Going from 2 GB to 8 GB adds around $3 and buys you capacity you will never use.

There is one exception. If you want several videos loaded with buttons to select between them, ask for that configuration specifically. The default build plays one file.

The battery is a small lithium cell, around $3.50 including the protection circuit. It is also the component that brings an entire regulatory framework with it, which is a cost that shows up later in freight rather than here in the bill of materials.

Speaker, reed switch or push button, and the USB port together run about $2.50. Choosing a push button over a reed switch changes almost nothing on price. It changes battery life a great deal.

Line 3: the box itself

Here is the part that surprises people. The rigid box is 13 percent.

A video box is a rigid setup box built from 1.5 to 2.0 mm grayboard with a printed wrap. At 250 units that structure runs about $9. The same box without a screen, sold on its own, would run $6 to $9 depending on finish.

So the box is not where your money is going. It is where your money is most visible, which is a different thing.

What moves this line.

  • Box size. A 10 inch screen needs a much larger box, and board is priced by area.
  • Magnetic closure. Adds roughly $1.50 to $3.00 including the magnets and the extra construction.
  • Drawer or two piece construction versus a simple lift off lid.
  • Interior wrap. Printing the inside as well as the outside adds material and a second wrapping operation.

The lid also needs a precise cut out for the module and a recess for the board behind it. That is more work than a plain lid and it is one reason a video box lid costs more than a normal one.

Line 4: printing and finishing

About $5 at 250 units on a 7 inch box, and this is where design decisions become invoice lines.

Stacking three or four of these adds five to eight dollars per unit. On a $68 box that is a ten percent increase for finishes that most recipients will not consciously register.

My honest advice is to pick one. A single foil logo on a soft touch box looks more expensive than a box carrying four effects, because restraint reads as confidence.

Line 5: the insert

$3.50 on the example above, and it ranges from $1 to $8 depending on what is inside.

This is the line I argue hardest against cutting. The insert controls what the recipient sees at the exact moment the lid lifts and the screen starts. If the product is loose in the box while a video plays about how carefully it was made, the two halves of the package disagree with each other.

Line 6: loading, testing, and the parts nobody quotes

Three small lines that together run about $5.50, and they are the reason a video box takes longer to make than a printed box.

Video loading. Every module is loaded individually before assembly. On 250 units that is 250 operations.

Quality control. Every unit is powered on and played. A screen that fails after assembly cannot be swapped without damaging the box, so testing happens at multiple stages. This is genuinely more QC than any paper product receives.

Certification and documentation. CE, FCC, and RoHS documentation, plus the UN 38.3 test summary for the battery and a safety data sheet. Some of this is amortized across orders and some of it is per shipment.

Line 7: tooling and one time costs

These do not scale, which is why 100 units feels expensive per unit.

On a 100 unit order, $700 of tooling adds $7.00 per box. On 500 units it adds $1.40.

Tooling is reusable. A repeat campaign on the same box and the same screen pays for modules and printing only, which is the single biggest saving available in this format.

What quantity actually does to the price

Less than you would hope, and here is the honest table.

Compare that with a printed rigid box, where going from 100 to 1,000 typically halves the unit price.

The reason is in the first table on this page. Half your cost is electronics, and electronics barely move. Only the paper half responds to volume.

So do not order 500 to get a better price. Order the number of people you actually intend to reach. The saving on 250 extra boxes will not cover the cost of 250 extra boxes.

Configurations, and the word that costs money

Minimum order is 100 boxes per configuration, and a configuration is a specific screen size in a specific box size.

That means two screen sizes is two minimums. Two box sizes is two dies. Two configurations is not a 200 unit order at 200 unit pricing. It is two 100 unit orders.

If you want a hero version and a standard version, price it that way from the start. Often the better answer is one configuration with two different printed wraps, since the wrap is the cheap part.

Landed cost, which is the number you should actually budget

Air freight for lithium batteries carries surcharges that sea freight does not. Air also caps you at 5 kg net of batteries per package under Section II, which means more cartons than the volume alone would suggest.

Sea freight is far cheaper and adds four to six weeks. For a launch with a fixed date, that decision has to be made at the start of the project rather than at the end.

Six ways to genuinely reduce the cost

In order of how much they save.

  1. Drop the screen size by one step. 7 inch to 5 inch saves roughly $12 per unit. It is by far the largest single saving available.
  2. Cut the quantity. The most reliable saving in any packaging project.
  3. Reuse the tooling. A second run on the same die and structure removes several hundred dollars of setup.
  4. Ship by sea. Saves $5 to $14 per unit versus air, if the calendar allows it.
  5. Simplify the finish to one effect. Saves $2 to $6 per unit and usually looks better.
  6. Right size the memory. 2 GB instead of 8 GB saves about $3 and costs you nothing you will use.

Three ways people cut cost and regret it

Skipping the working sample. It saves $300 and ten days. It risks 250 boxes with a lid that does not close over the module or a video that looks soft on the panel. This is the worst trade in the format.

Dropping the insert. Saves $3.50. Turns a presentation into a shipment, and undermines the reason you bought a video box.

Using the presentation box as the shipping box. Saves $2. Delivers a scuffed box covered in courier labels, with a screen inside that took the impact directly.

The cost per second of attention

This is a strange calculation and it is the most useful one on the page.

Now compare. A pre roll ad that gets skipped after five seconds, at a $12 CPM, costs roughly $0.0024 per second and reaches somebody who did not choose to watch. Cheap attention and low quality attention.

Video boxes are not competing with advertising. They are competing with the cost of getting a specific person to sit still and watch your product being explained. Against a flight, a hotel, and a meeting, $68 is inexpensive.

Which gives you the test. If the recipient is worth a meeting, the box is worth it. If they are not, spend the money on a stronger printed box and a longer list.

Why two suppliers quote the same box $30 apart

You will get quotes that differ enormously for what looks like the same product. There are five real reasons and one bad one.

Panel grade. IPS versus TN is the biggest one. A TN panel is cheaper and it washes out the moment you look at it from an angle, which is exactly how somebody looks at an open box on a desk. If a quote is unusually low, ask which panel type it uses.

Battery quality. A cell with a proper protection circuit and a genuine UN 38.3 test summary costs more than one without. The one without may not be shippable by air at all, which you discover at the worst possible moment.

Board thickness. A rigid box at 1.2 mm feels different from one at 2.0 mm and costs less. On a box that holds electronics, the thinner board also flexes around the module cut out.

QC depth. Testing every unit costs more than testing a sample. On electronics inside packaging, sample testing is not enough, because a dead unit cannot be repaired after assembly.

Documentation. CE, FCC, RoHS, UN 38.3, and a safety data sheet all take real work to compile and maintain. Suppliers who do not provide them quote lower.

And the bad reason. Some quotes exclude tooling, exclude the video loading, exclude the insert, or quote ex works when you assumed the price included getting it to you. Always ask what is not in the number.

The costs that never appear on a quote

Five lines that are real and that nobody warns you about.

Charging before the send. Boxes arrive partly charged. If they sit for six weeks in a warehouse before kitting, somebody has to top them up. On 250 units that is most of a day.

Spares. Order two to four percent extra. Units get damaged in kitting, one arrives faulty, and a recipient list changes at the last minute. Replacing five boxes as a separate order costs far more per unit than including them in the run.

Warehousing. Video boxes are bulkier than flat packed cartons because they arrive assembled. Storage costs more per unit and for longer than you plan for.

Returns and failures. Expect a small failure rate on any electronic product. Decide in advance who handles a recipient reporting a dead screen, because handling it badly is worse than the failure itself.

Disposal. The box contains a battery, which means it is electronic waste rather than paper waste at the end of its life. That has an obligation attached in several markets and it is worth deciding your position before somebody asks.

The point is not that video boxes win. It is that they compete in a different category than packaging. A video box is a distribution channel that happens to arrive in a box, and it should be judged against the cost of getting a specific person's attention, not against the cost of a carton.

A worked example, start to finish

Numbers in tables are abstract. Here is one real shaped project from first email to delivered boxes.

A software company launching a hardware accessory. They want 180 units going to press, analysts, and their top thirty customers. The product is small, about 90 x 60 x 20 mm, and it needs demonstrating rather than describing.

What we specified. A 7 inch screen, because the demo has hands doing things and a 5 inch panel loses that. A rigid box at 9.5 x 6.5 x 2.5 inches with a magnetic lid. A foam tray with a fabric wrap for the product, and a second recess for a cable. One color foil logo on a soft touch wrap, and nothing else.

What went right. They started fourteen weeks out, which meant sea freight rather than air. That one decision saved about $2,000 and removed the battery paperwork burden from the critical path.

What nearly went wrong. The first dieline placed the closure magnet 11 mm from the reed switch. The video triggered when the lid was still closed and would not stop. We caught it on the working sample, moved the magnet to the opposite edge, and lost four days instead of a production run.

The result they measured. Twenty two pieces of coverage and eleven customer meetings booked. That is $861 per outcome on a product with a five figure contract value.

The line I would defend. The working sample at $380. It found the magnet conflict. Without it, 180 boxes arrive that play continuously until the battery dies.

The three questions that actually set your price

If you want to move the number, these are the only levers with real travel in them.

How big is the screen? This is 50 percent of the cost and the only decision that can move the unit price by thirty dollars. Everything else moves it by two or three.

How many are you making? Not for the discount, which is small, but because tooling and setup divide across the run. Going from 100 to 250 removes about $4 per unit of one time costs before any component price changes at all.

How is it getting to you? Sea versus air is a $5 to $14 per unit difference on a video box, plus the dangerous goods surcharges that only apply to air. This is decided by your calendar rather than your budget, which is why the calendar is a cost line.

Everything else on the invoice is between fifty cents and three dollars. Worth optimizing, not worth agonizing over.

What I would tell you if you called. Pick the screen size from the audience and the content, take the quantity down to the list you actually have, and start early enough to ship by sea. Those three decisions together are worth more than every finish and material choice combined.

The honest summary

Half of the price is a screen module you cannot negotiate with. A quarter is the box, the print, the insert, and the work of loading and testing. The rest is overhead and margin, and it is not unusual for the category.

That leaves you one real lever and two small ones. The screen size is the lever. The quantity and the freight mode are the two small ones, and together they are worth about as much as one step down in panel size.

Before you approve the quote

  • The quote states the screen size, memory, battery, and trigger type explicitly
  • Tooling is listed as a separate line so the reorder price is obvious
  • The insert is specified by material, not just described as an insert
  • A working sample is scheduled with enough time to reject it
  • Freight mode is decided and quoted, air or sea
  • Battery documentation is confirmed as included
  • The number of configurations is confirmed, since each carries its own minimum
  • The video production budget sits in a separate line from the packaging
